Privacy Policy

1. About this policy

This policy explains how Performing Beyond 40 collects, uses and protects personal information when you use our website, the Free PERFORM Assessment, the PERFORM Masterclass, our Support Calls, our coaching programmes and our emails.

2. Who we are

Performing Beyond 40 is the trading name of Sandra Chi, a sole trader in the United Kingdom. Sandra Chi is the “controller” of your personal information, which means she decides how and why it is used.

  • Email: info@performingbeyond40.co.uk
  • Post: 6 Cookham Close, Southall, UB2 4PG

3. The Free PERFORM Assessment

What we collect when you sign up: your first name and email address (required), your telephone number if you choose to give it (optional), and whether you ticked the box to receive marketing emails. The box is optional and is not ticked unless you tick it. You can use the assessment without ticking it.

Your answers and results. After you sign up, you go straight to the assessment. The assessment page calculates and displays your results in your own web browser. Your answers and results are not sent to us, and we do not store them. If you download your results, the PDF is created on your device.

To display the page and create the PDF, your browser loads fonts from Google Fonts and a software library from jsDelivr. These services receive technical information such as your IP address and browser type, but not your answers.

If you do not tick the marketing box, we will not send you marketing emails. We keep your sign-up details for up to 12 months for administration (see section 10).

If you tick the box, you will receive a short series of emails about the PERFORM Framework and the PERFORM Masterclass, followed by occasional updates and offers. Every email includes an unsubscribe link, and you can also unsubscribe by emailing us.

4. Purchases

When you buy the PERFORM Masterclass or a coaching programme, we collect your first name, surname and email address, and details of what you bought, when and how much you paid. We use this to process your order, give you access and send you messages about your purchase, such as your receipt and access details. These service messages are sent whether or not you have agreed to marketing emails, and they do not contain promotions.

Card and Apple Pay payments are processed by Stripe through our sales platform, Systeme.io. We do not receive or store your full card details.

If you buy the PERFORM Masterclass, you are removed from the Free PERFORM Assessment email series.

5. Support Calls and coaching

The PERFORM Masterclass includes an optional 20-minute Support Call. You book it through Calendly, and the call takes place on Zoom or, if you prefer, by telephone. When you book, we collect your name, email address and chosen time, anything you choose to tell us in the booking form, and your telephone number if you ask for a phone call.

Coaching notes. We may keep brief, confidential notes about coaching clients, such as goals, agreed actions, progress and points to follow up. Notes are stored securely in an online file that only Sandra Chi can access. We keep them for 12 months after your final session or programme.

Sensitive information. Coaching conversations can sometimes touch on health or other sensitive matters. We will only record this kind of information in our notes if you give your explicit consent, which we will ask for separately. You can withdraw that consent at any time.

6. Recordings

Group coaching sessions. We may record group coaching sessions to preserve our teaching materials, review how sessions are delivered and develop future training. We will always tell you before a session is recorded.

You may turn off your camera and use a different display name on Zoom, but your voice and anything you say or type in the session may still be recorded. If you have concerns about being recorded, please tell us before the session.

Recordings are not routinely shared with participants. We will not use your identifiable contributions in promotional or future training materials without your permission.

Support Calls. Support Calls are not recorded automatically. A call would only be recorded with your permission, given in advance, for Sandra’s private professional development. You can say no and still have your call. Support Call recordings are kept for six months and then deleted.

7. Telephone numbers

We use telephone numbers only to arrange or provide support or coaching you have asked for. Giving us your number does not mean you agree to marketing calls. We do not currently make marketing calls; if that changes, we will update this policy first and follow the UK rules on marketing calls. We do not send marketing text messages.

9. Who we share information with

We do not sell personal information. We share it only with service providers that help us run our business, and only as far as they need it:

Provider What they do
Systeme.io Hosts our sign-up, sales and course pages; stores contact and purchase records; sends our emails. Its pages send technical error reports to its error-monitoring service
Twilio SendGrid Delivers emails on behalf of Systeme.io
Stripe Processes payments
Calendly Books Support Calls
Zoom Hosts video calls and group sessions
Krystal Hosts our website
A secure online storage provider Stores coaching notes
Meta (Facebook and Instagram) Measures our advertising, only if you allow advertising cookies
Google (YouTube) Plays embedded videos, only when you press play or allow embedded video
Google Fonts and jsDelivr Supply fonts and a software library used by the assessment page

We may also share information when the law requires it, for example with HM Revenue & Customs, or with professional advisers such as an accountant.

International transfers. Some of these providers store or process information outside the UK, including in the European Union and the United States. UK law requires such transfers to be protected by recognised safeguards, such as UK adequacy regulations (which cover the European Union and, for certified US organisations, the UK–US “data bridge”) or approved contract terms. Contact us if you would like more information about the safeguards that apply.

10. How long we keep information

Information How long we keep it
Assessment sign-up details Up to 12 months after you sign up, unless you are a marketing subscriber, have bought from us or are in contact with us
Marketing subscribers Until you unsubscribe. After that, we keep a minimal record so that we do not email you again
Purchase and payment records As long as UK tax law requires, normally around six years
Coaching notes 12 months after your final session or programme
Support Call recordings Six months after the call
Group session recordings Only as long as needed to preserve our teaching materials, review delivery and develop training. We review them regularly and delete those we no longer need
Enquiries and complaints 12 months after our last communication, unless needed longer for a complaint, a purchase or a legal obligation
Your cookie choice About six months, stored on your device

When we delete information, it may remain in our providers’ backups or deletion areas for a short time before it is permanently removed.

11. Cookies and similar technologies

Some of our pages use technologies that store or read information on your device.

Essential technologies (always on). These make our pages, forms and checkout work, and remember your cookie choice using a small cookie called pb40_consent. Our payment provider, Stripe, may use cookies at checkout to help prevent fraud.

Optional technologies:

  • Advertising (Meta pixel). Measures how our Facebook and Instagram adverts perform.
  • Embedded video (YouTube). Plays our videos. Videos play in YouTube’s privacy-enhanced mode, but YouTube may still set cookies once a video plays.

Your choices. When our cookie banner appears, you can choose Accept all, Reject all or Manage choices. Manage choices lets you allow advertising and embedded video separately. The Meta pixel does not load unless you allow advertising, and nothing is loaded from YouTube until you press play or allow embedded video.

Pressing play. Pressing play loads that video for that viewing only. It does not change your saved choices, so the “Play video” button will appear again next time. To load videos automatically, allow embedded video in Cookie settings.

Changing your mind. You can use the “Cookie settings” button at the bottom of the page at any time. If you withdraw your consent, optional technologies stop running on that page, we remove the Meta cookies stored for our pages, and nothing optional loads on later visits.

What withdrawing consent cannot do. It does not delete information that Meta or Google have already received, and we cannot delete cookies they have set on their own websites. You can contact Meta or Google about information they hold, and you can delete cookies using your browser settings.

If your browser blocks cookies. We cannot remember your choice, so the banner will appear each time you visit, and optional technologies will not load.

12. Security

Your information is held by reputable service providers, and access to our accounts is limited to Sandra Chi. No system is completely secure; if something goes wrong, we will act promptly and tell you where the law requires it.

13. Your rights

You have the right to:

  • ask for a copy of your personal information
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict how we use your information
  • object to our use of your information where we rely on legitimate interests, and object to direct marketing at any time
  • ask for your information in a portable format, where this applies
  • withdraw your consent at any time, where we rely on consent. Withdrawing consent is as easy as giving it, and does not affect anything we did before you withdrew it

To make a request, email info@performingbeyond40.co.uk. We normally respond within one month. Some rights have legal exceptions, which we will explain if they apply.

14. Complaints

If you are unhappy with how we have handled your personal information, please email info@performingbeyond40.co.uk. We aim to acknowledge complaints within five working days, and we will look into your complaint and tell you the outcome.

You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

15. Changes to this policy

We will update this policy when our services or practices change. The date at the top shows when it was last updated.
